ParentIEPRoadmap.com provides educational advocacy information, guidance tools, and AI-assisted resources to help families navigate special education. Because our tools may involve the submission of sensitive information about children with disabilities, we take privacy seriously and maintain this policy to be fully transparent about our practices. Please read it carefully before using any of our tools.
This Privacy Policy and AI Use Disclosure applies to all tools and pages on ParentIEPRoadmap.com, including the Parent Concern Generator and the IEP Evaluator. It does not apply to third-party websites linked from our pages. By using our tools, you agree to the practices described here.
Who We Are
ParentIEPRoadmap.com is a parent-led educational advocacy and information resource. We are not a law firm, not a medical practice, and not a school district or educational agency. We are not attorneys and we do not provide legal advice. Our tools and content are designed to help parents organize their thoughts, understand their rights, and prepare for school meetings.
Our AI-powered tools (the Parent Concern Generator and IEP Evaluator) use the Claude API provided by Anthropic, PBC to process information submitted by parents and generate plain-language advocacy summaries. These summaries are informational only and do not constitute legal advice, medical advice, or a professional evaluation of any kind.
What Information We Collect
We collect only the information you voluntarily provide through our tools. We do not collect information automatically beyond standard web analytics.
Parent Concern Generator
When you use the Parent Concern Generator, you may provide:
- Your child’s first name, initials, age, grade, and school level
- Your child’s state of residence (used to check state-specific special education standards)
- Descriptions of academic, behavioral, social-emotional, and speech/language concerns
- Information about known diagnoses or medical background
- Descriptions of current school supports, evaluations, and your observations at home
- Your goals for school meetings
We encourage you to use your child’s initials rather than their full name. No full name is required to use this tool.
IEP Evaluator
When you use the IEP Evaluator, you provide:
- Your name, email address, school district, and child’s initial, age, grade, classification, and state
- Uploaded document files (IEPs, evaluation reports, or other school records)
- Optional: a description of advocacy concerns or areas you would like help understanding
Important: Documents you upload may contain sensitive educational records protected under FERPA and may include disability-related health information. Please review Section 4 (FERPA Notice) and Section 5 (Health Information) carefully before uploading documents.
Automatically Collected Information
Like most websites, we collect standard web analytics data including:
- IP address (used for rate limiting and security — see Section 7)
- Browser type and operating system
- Pages visited and time on site (via anonymous analytics)
- Referring URL
This data is collected in aggregate and is not linked to your submitted concern or IEP data.
We do not collect Social Security numbers, financial information, school district login credentials, or any information through deceptive means. We do not knowingly collect information directly from children — all information must be submitted by a parent or legal guardian.
How AI Processes Your Information
Our AI tools are powered by the Claude API from Anthropic, PBC. Understanding how your data moves through this system is important.
When you submit the Parent Concern Generator or IEP Evaluator form, the information you enter — including the text of your concerns and the extracted text of any uploaded documents — is transmitted securely to Anthropic’s API servers for processing. This transmission occurs over an encrypted (HTTPS/TLS) connection.
What Anthropic Receives
Anthropic receives a structured text prompt containing the information you submitted. For the IEP Evaluator, this includes text extracted from your uploaded documents. Anthropic processes this prompt through the Claude language model and returns a generated response to our server, which is then formatted and displayed to you.
Anthropic’s Data Retention Policy
According to Anthropic’s API usage policies (current as of the date of this policy):
- API inputs and outputs are not used to train Anthropic’s AI models by default when submitted through the API (as opposed to Claude.ai consumer products).
- Anthropic may retain API inputs and outputs for a limited period (generally up to 30 days) for trust, safety, and abuse-prevention monitoring purposes.
- After this retention window, data is deleted from Anthropic’s systems.
- Anthropic does not sell your data to third parties.

What the AI Does Not Do
- The AI does not make legal determinations or findings of fact
- The AI does not diagnose disabilities or medical conditions
- The AI does not access any external databases, school records systems, or government databases
- The AI does not retain memory of your submission after the response is generated
- The AI does not share your information with any other users
- The AI’s output is not a substitute for the advice of a qualified special education attorney or certified educational advocate
We strongly recommend that you use initials rather than full names for your child and avoid including highly sensitive personal identifiers (such as Social Security numbers, Medicaid numbers, or school ID numbers) when using our tools. Our tools do not require this information to generate useful advocacy summaries.
FERPA Notice
The Family Educational Rights and Privacy Act (FERPA), 20 U.S.C. § 1232g, protects the privacy of student education records maintained by schools and educational agencies that receive federal funding. FERPA gives parents the right to access, review, and request corrections to their child’s educational records held by the school.
ParentIEPRoadmap.com Is Not a School or Educational Agency
FERPA’s obligations apply to schools and educational agencies — not to third-party advocacy tools or websites. ParentIEPRoadmap.com is not a school, school district, or local educational agency (LEA), and we do not receive federal education funding. Accordingly, FERPA’s requirements do not technically apply to us as an organization.
However, we recognize that:
- Documents you may choose to upload through the IEP Evaluator (such as IEPs and evaluation reports) may constitute or contain FERPA-protected education records maintained by your child’s school.
- As the parent of a minor child, you have the right under FERPA to access and share those records.
- When you upload such documents to our tool, you are voluntarily sharing records that you are legally entitled to access and share as a parent.
Your Responsibility as a Parent
By uploading documents through the IEP Evaluator, you represent that:
- You are the parent or legal guardian of the child whose records are included in the documents
- You have the legal right to access and share those records
- You understand that the document text will be transmitted to Anthropic’s API for AI processing as described in Section 3
- You are sharing this information voluntarily for the purpose of receiving educational advocacy support
FERPA and Schools
Nothing in your use of ParentIEPRoadmap.com affects your FERPA rights with respect to your child’s school. Your school remains legally obligated to protect your child’s educational records and to provide you access to those records upon request. If you have concerns about how your school is handling your child’s records, families may wish to consult the U.S. Department of Education’s Student Privacy Policy Office or a qualified special education attorney.
Health & Disability Information
HIPAA (the Health Insurance Portability and Accountability Act) applies to healthcare providers, health plans, and healthcare clearinghouses — not to educational advocacy websites. ParentIEPRoadmap.com is not a healthcare provider, health plan, or HIPAA-covered entity, and HIPAA’s protections do not apply to our platform.
That said, we recognize that information submitted through our tools — including descriptions of disabilities, diagnoses, medications, behavioral health concerns, and uploaded evaluation reports — is sensitive. We treat all submitted information with care and do not use it for any purpose other than generating your requested advocacy summary.
We recommend that parents:
- Use initials rather than full names when describing your child
- Omit Social Security numbers, Medicaid IDs, and insurance information from any documents before uploading
- Review uploaded documents before submitting to ensure you are comfortable with the level of detail being shared
Children’s Online Privacy (COPPA)
The Children’s Online Privacy Protection Act (COPPA) restricts the online collection of personal information from children under age 13 without verifiable parental consent. ParentIEPRoadmap.com is designed for use by parents and guardians — not by children.
Our tools collect information about children (at a parent’s direction) but are not intended to be used directly by children. We do not knowingly collect personal information directly from any child under 13. If you believe a child has submitted information directly through our tools without parental guidance, please contact us immediately at contact@parentieproadmap.com and we will delete it promptly.
Data Storage & Retention
The following table summarizes how different types of data are stored and how long we retain them.
Our web hosting server uses HTTPS/TLS encryption for all data in transit. Uploaded documents are stored in a protected directory that is not accessible via public URL. WordPress database access is restricted to authorized administrators. We do not store payment information — payment processing is handled entirely by WooCommerce and its payment gateway partners.
Your Rights & Choices
Right to Request Deletion
You may request that we delete any IEP Evaluator submission data associated with your email address, including uploaded documents and generated reports. To submit a deletion request, email us at contact@parentieproadmap.com with the subject line "Data Deletion Request." We will process your request within 30 days.
Please note that we cannot delete data that Anthropic has already processed on their servers — that data is subject to Anthropic’s own retention and deletion policies.
Right to Access Your Data
You may request a copy of the IEP Evaluator submission data we have stored for your email address. Contact us at contact@parentieproadmap.com with the subject line "Data Access Request."
Email Opt-Out
If you have subscribed to our newsletter through Mailchimp, you may unsubscribe at any time using the unsubscribe link in any email we send. You may also email us directly to request removal from our mailing list.
California Residents (CCPA)
California residents may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we have collected, the right to delete it, and the right to opt out of the sale of personal information. We do not sell personal information. To exercise your CCPA rights, contact us at contact@parentieproadmap.com.
Residents of Other States
Many states have enacted or are in the process of enacting consumer privacy laws that may afford residents additional rights. We are committed to honoring reasonable requests for data access or deletion regardless of your state of residence. Contact us with any questions or requests.
Third-Party Services We Use
We use the following third-party services in connection with our tools. Each has its own privacy policy.
Cookies & Local Storage
Our website uses the following types of browser storage:
- Session cookies: Used by WordPress for security (nonce verification) and to maintain your browsing session. These expire when you close your browser.
- Functional cookies: Used by WooCommerce to maintain your cart and session state if you are purchasing IEP Evaluator report access.
- Session Storage (Parent Concern Generator): Your in-progress form draft may be saved in your browser’s sessionStorage so you don’t lose your work if the page reloads. This data stays in your browser only and is never transmitted to our servers unless you click Submit. It is cleared when you close your browser tab.
- Analytics cookies: Anonymous tracking cookies used by our analytics provider to measure aggregate page traffic.
You can control cookie behavior through your browser settings. Disabling certain cookies may affect the functionality of our tools.
AI Output Disclaimer
All content generated by our AI-powered tools — including the Parent Concern Generator and IEP Evaluator — is provided for educational advocacy and informational purposes only. It does not constitute legal advice, medical advice, or a professional evaluation, and does not establish an attorney-client relationship. Generated summaries and reports should not be treated as definitive findings or legal conclusions.
Families with legal concerns about their child’s special education services are encouraged to consult a qualified special education attorney or certified educational advocate. AI-generated content may contain errors, omissions, or inaccuracies and should be reviewed by the parent before use.
Changes to This Policy
We may update this Privacy Policy and AI Use Disclosure from time to time as our tools evolve, as third-party services update their own policies, or as applicable law changes. When we make material changes, we will update the "Last Updated" date at the top of this page. We encourage you to review this page periodically.
Your continued use of our tools after changes are posted constitutes your acceptance of the updated policy. If you do not agree with any changes, please discontinue use of our tools and contact us to request deletion of any previously submitted data.
